Home Care Software for Medicaid Agencies
Keep every patient, authorization and claim in one place, and get paid for the personal care, homemaker and respite hours your caregivers deliver.
Built for agencies that bill Medicaid plans
A home care agency lives on authorizations. Each patient arrives with a plan of care, a number of approved units and an end date, and every hour your caregivers spend in a home has to match that paperwork before a plan pays for it. When the authorization lives in one folder, the schedule in another tool and the claims in a third, units slip through the cracks and payments arrive weeks late.
Zeumatic puts the patient record, the authorization and the claim side by side. Upload an authorization PDF and AI reads it for you (the member, the plan, the service, the units and the dates) so your office reviews a filled form instead of retyping one. From there, claims are built in the standard EDI 837 format and sent to the payer through the Availity clearinghouse.
Your billing team sees what was paid, what was denied and what is still pending, payer by payer, without calling anyone. And because the whole product speaks home care, the people you serve are called patients everywhere in the app, and the service codes your agency bills are ready in a dropdown.

From referral to payment
- 1
Admit the patient
Create the patient record, or import your current list from Excel or CSV. Coverage, documents and the member's plan sit on one screen your whole office can open.
- 2
Read the authorization
Drop in the authorization PDF or a scan. AI pre-fills the service, the units and the start and end dates; a coordinator checks it and saves. Zeumatic warns you before it expires.
- 3
Bill the hours
Create claims one by one, in a batch, or let a scheduled billing run prepare them every week. Each claim goes to the plan through Availity, under the service code of the visit.
- 4
Get paid and follow up
Acknowledgments and 835 remittances come back and are matched to your claims automatically. Rejections show the payer's reason, so your team knows exactly what to correct and resubmit.

AI Assistant
Ask Zeumatic to do the work in plain English: find a claim, prepare a batch, sum up a payer's payments.

“Every claim is tracked from submission to payment. I see what's paid, denied or still pending without calling the payer.”

Questions we hear
Which home care services can my agency bill with Zeumatic?
Personal care, homemaker, companion and respite services, under the HCPCS codes listed on this page. Each patient's authorization says which service and how many units are approved, and the claim is built from it.
Does Zeumatic handle Electronic Visit Verification (EVV)?
Not yet. Caregiver clock-in and clock-out with EVV records is coming soon. Today Zeumatic covers the patient record, authorizations, claims and payment reconciliation; book a demo to hear when it arrives.
Can several coordinators and billers work in the same account?
Yes. Invite teammates by link and give each one a role (admin, manager, staff or viewer) so a coordinator can update patients while only billing staff send claims. Sign-in supports two-step verification.
What happens when a payer rejects a home care claim?
The rejection comes back through Availity and shows up on the claim with the payer's own reason. Your team fixes the record, resubmits, and the claim's history keeps every step for the audit log.
We run more than one agency. Is that a second subscription?
One account can work for several companies and switch between them; each company keeps its own patients, claims and settings, and nobody sees another company's data.
