Child Care Billing Software

Children's records, coverage and attendance billing (to health plans or to parents) without the end-of-month spreadsheet.

One place for every child, every payer, every invoice

A child care center that takes health-plan coverage juggles two kinds of billing at once. Some children's care is billed to a plan, by half day or full day; other families pay the center directly. Both need accurate records, both need to be followed up, and both end up in a spreadsheet when the software was built for something else.

Zeumatic keeps each child's record (coverage, documents, authorizations) on one screen, and the app speaks your language: children, not clients. The center's half-day and full-day services and its meals come ready as service codes, so a claim is never built from a code typed from memory.

Plan claims leave through the Availity clearinghouse and come back reconciled; parents who pay privately get invoices from the same place. Analytics show what was billed and received over any period, so a director can answer the money question in seconds.

Centers often grow from one site to several. Each site can be its own company in Zeumatic, with its own children, staff and billing, and an owner can move between them in one click. Nothing is shared between sites unless the same person is invited to both.

Billing a month of care

  1. 1

    Enroll the child

Add the child with their coverage and documents, or import the center's list from a spreadsheet.

  2. 2

    Keep coverage current

Authorizations are read from their PDFs and watched for expiry, so a child's care is never billed on lapsed coverage.

  3. 3

    Bill plans and parents

Plan-covered days go out as claims; families who pay directly receive invoices. Both come from the same records.

  4. 4

    Follow the money

Remittances are matched to claims automatically, and the daily checks list anything that blocks a payment.

Questions we hear

Does Zeumatic accept children's records, with dates of birth under 18?

Yes. The child care preset expects children, so a young date of birth is normal there, unlike the adult presets, where it would be flagged as a typing error.

Can we invoice parents who pay for care themselves?

Yes. Families who pay privately are invoiced from Zeumatic, while plan-covered care is billed electronically through Availity.

Do we have to bill half days and full days differently?

The child care preset carries a half-day and a full-day code; each claim uses the one the child's coverage approves.

Can our director see billing without changing anything?

Give the director a viewer role: they see records, claims and analytics, and cannot edit or send anything.

Is children's data kept private?

Each center sees only its own records, and each teammate only what their role allows. Data is hosted on Google Cloud under a Business Associate Agreement, and two-step verification protects every sign-in.

What does a center need to get started?

A list of the children you serve, their coverage, and the payer IDs of the plans you bill. Book a demo and we walk through it with your own data, or start the free trial.

Can we see what each plan still owes us?

Analytics show what was billed and what was received over any period, plan by plan, so the gap is visible before it becomes a problem.
