AI document reading

Authorization Management Software with AI Reading

Drop in the plan's authorization: PDF, fax or scan. AI fills in the form, your team checks it, and Zeumatic watches the end date for you.

Stop retyping what the plan already wrote

Authorizations arrive in every shape: a clean PDF from one plan, a fax from another, a phone photo of a printed page from a third. Someone in your office reads each one and types the member's name, the Medicaid ID, the service, the number of units and two dates into a system, and a single wrong digit can mean a claim the plan refuses months later.

In Zeumatic, you upload the document and AI reads it. It pre-fills the authorization form with the member, the plan, the service, the units and the start and end dates, and it tells a new authorization from a hold or a termination notice, which plans often send on the very same form. Your coordinator reviews what was read, corrects anything unclear and saves, nothing is stored without a person's confirmation.

The reading runs on Google Cloud's AI, under the same Business Associate Agreement that covers the rest of your data. The document stays attached to the person's record, so the original is one click away the day anyone asks where a number came from.

The same reading handles the other paper that slows billing down: explanations of payment mailed with a check. They are read page by page, and their payments are posted only when the lines add up to the check's total, so a misread amount never reaches your books.

What happens when an authorization arrives

  1. 1

    Upload

Drag the PDF or scan onto the person's record, or onto the authorization form. Faxes and phone photos work too.

  2. 2

    AI reads it

Member, plan, service, units and dates are filled in for you, and a hold or termination is recognized as such.

  3. 3

    A person confirms

Your coordinator checks each field against the document shown beside it, fixes anything doubtful, and saves.

  4. 4

    Zeumatic keeps watch

Before an authorization ends, the team is alerted, and the daily checks list every person who would otherwise be billed without one.

Questions we hear

What documents can the AI read?

Authorization letters and forms from health plans (typed PDFs, faxes and scanned or photographed pages) and paper explanations of payment that come with checks.

Does anything get saved without a person checking it?

No. The AI only pre-fills the form; a member of your team reviews it and saves. The original document stays attached to the record.

Is patient information sent to an outside AI company?

The reading runs on Google Cloud's AI, under the Business Associate Agreement Zeumatic signed with Google, the same one that covers the rest of your data.

How early are we warned before an authorization expires?

Zeumatic alerts the team ahead of the end date and lists the people concerned, grouped by insurance, so renewals can be requested in time.

What if the AI reads a field wrong?

Your coordinator sees the document next to the form and corrects the field before saving. Nothing the AI fills in is stored until a person confirms it.
