CRM

CRM for Home & Community Care Providers

Every person you serve (their plan, their authorizations, their documents, their history) on one record your whole team trusts.

A generic CRM tracks deals. Yours tracks coverage.

Sales CRMs are built around leads and pipelines. A care business needs something else: who is covered, by which plan, for which service, until when, and what changed since last week. When that lives in spreadsheets and email threads, the first sign of a problem is a claim that comes back unpaid.

Zeumatic's CRM is organized around the people you serve. Each record holds their contact details, their Medicaid or Medicare coverage, the plan's authorizations with their units and dates, and every document that came with them. The record knows its state (active, on hold, or ended), and the rest of the product follows it: a person on hold is not billed while the hold lasts.

Every change is written down. A record's history shows who changed what and when, whether it was edited by a coordinator, updated by an import or filled in from a document. That history is kept by the database itself, so no screen, script or import can change a record without leaving a trace.

And the app speaks your industry. A home care agency sees patients, an adult day center participants, an assisted living facility residents, a caterer facilities (on every screen, list and report) because the industry is a setting of the company, not a coat of paint.

From a spreadsheet to a CRM in an afternoon

  1. 1

    Import your list

Bring in the people you serve from an Excel or CSV export. Columns are matched to fields, and you review the result before anything is saved.

  2. 2

    Attach coverage

Add each person's plan and upload their authorizations; AI fills in the details from the PDF and your team confirms them.

  3. 3

    Invite the team

Coordinators, billers and managers get their own sign-in and a role (admin, manager, staff or viewer) that decides what they can change.

  4. 4

    Find anything

Search across people, claims and authorizations from the top of any screen, word by word, and land on the record you meant.

Questions we hear

Can Zeumatic replace the spreadsheet we keep our clients in?

Yes, that is usually the first step. Import the spreadsheet, check the matched columns, and the list becomes records that coverage, authorizations and claims can hang from.

What is the difference between putting someone on hold and ending their service?

A hold pauses billing and deliveries while keeping the authorization; the person comes back without being re-entered. Ending the service closes the record for billing from that date on.

Can I see who changed a client's coverage?

Yes. Each record keeps its own history (the field, the old and new value, who changed it and when) next to the company-wide audit log.

Can a teammate work for two of our companies?

Yes. One person can belong to several companies with a different role in each, and switches between them without signing out.
