Caterers for daycares and schools

Child Care Catering Software

Every facility you feed, every route your drivers run, every meal billed, to the program that pays for it.

You feed facilities, not individuals. The software should know it

A caterer that serves daycares and schools does not deliver to one person: it delivers to a facility, every weekday, with a count that changes with enrollment. The facility's program decides who pays and how (some meals are invoiced to the center, some are billed to a program), and the paperwork for each has to stay straight across dozens of sites.

In Zeumatic, the central record is the facility. Each one carries its address, its contacts, its documents and the meals it is approved for. Your delivery routes are planned and optimized in Spoke and kept in sync with Zeumatic, so a new facility added to a route reaches your drivers without anyone copying it over.

Meal delivery and meal preparation are ready as service codes. Bill each program the way it pays (an invoice to the center or a claim through Availity) and keep track of what every facility has been billed and has paid.

Enrollment changes all year, and so do the counts. Because routes are planned in Spoke and synced with Zeumatic, a facility that joins, pauses for a school holiday or leaves your contract changes in one place, and the next route your drivers receive already reflects it.

    Add the facility

Create each daycare or school once, with its contacts and documents, or import your current list of sites.

  2. 2

    Route the delivery

Put the facility on a route; Spoke optimizes it and sends it to your drivers, and the stops stay in sync with Zeumatic.

  3. 3

    Bill the program

Invoice the center or send a claim through Availity, using meal delivery or meal preparation as the service.

  4. 4

    Watch the accounts

See what each facility and program was billed and has paid, and let a scheduled billing run handle the weekly routine.

“Zeumatic cut our admin time in half. Our routes stay in sync with Spoke, and we bill exactly the days our drivers actually delivered.”

Questions we hear

Is each daycare a client in Zeumatic?

Each daycare or school is a facility. The catering preset calls the central record that, and every screen follows.

Can we bill meal preparation separately from delivery?

Yes. The catering preset has one code for meal delivery and one for meal preparation, so each is billed the way the program pays for it.

Do our drivers need a new app?

No. Drivers keep using the Spoke dispatch app; Zeumatic sends it the routes and stops and stays in sync with it.

Some centers pay us directly. Can we invoice them?

Yes. A center that pays you directly receives an invoice from Zeumatic, alongside the programs billed by claim.

Can we see which facilities were delivered on a given day?

Yes. The deliveries Spoke confirms come back to Zeumatic, so you can check what each facility received before you bill it.

Do we have to retype facilities that are already in Spoke?

No. Facilities and their stops stay in sync between Zeumatic and Spoke, so each site is entered once.

Can several caterers or kitchens share one account?

Each kitchen can be its own company inside one account, with its own facilities, routes and billing, and one person can switch between them. Billing and analytics stay separate for each kitchen.
