Home-Delivered Meals Software & Medicaid Billing

Run your meal program from referral to remittance: authorizations, delivery routes and claims billed from the meals your drivers actually delivered.

Meals are a covered benefit. Bill them like one

When a health plan prescribes meals, every box that leaves your kitchen becomes a billable service. The authorization says how many meals a week the member may receive and until when; the route decides which day they arrive; the claim has to tell the plan exactly what was delivered. Kept in spreadsheets, those three drift apart, and the program either under-bills or bills a meal that never reached the door.

Zeumatic was built first for meal programs, and it shows. Each client carries their authorization, their meals per delivery and their plan. Delivery routes are planned and optimized in the Spoke dispatch app your drivers already use, and Zeumatic keeps routes and stops in sync with it in both directions.

The days Spoke confirms as delivered come back to Zeumatic, so billing can follow the meals that really arrived, not the ones that were planned. Claims go to the plan through Availity, one line per served day, and the database refuses to bill the same day twice for the same client.

Meal programs also live with odd units: some plans count meals per delivery, others per week, and a client approved for fourteen meals may receive them in two drops. Zeumatic reads the meals each delivery carries from the client's record and bills the meals that left the kitchen, so the units on the claim match the boxes on the porch.

How a meal turns into a payment

  1. 1

    Enroll the client

Add the client or import your roster from a spreadsheet. AI reads the plan's authorization PDF (meals approved, start and end dates) and your team confirms it.

  2. 2

    Put them on a route

Assign the client to a delivery route. The route and its stops reach Spoke, where it is optimized and dispatched to your drivers.

  3. 3

    Confirm what was delivered

Every delivery Spoke marks as done comes back to Zeumatic, day by day. With delivered-days billing on, a skipped delivery is not billed, and a paused client never is.

  4. 4

    Bill and reconcile

A weekly billing run turns delivered days into claims, sends them through Availity and matches the 835 payments when they arrive.

Questions we hear

Which code is used to bill home-delivered meals?

Home-delivered meals are billed under S5170, the default service code of the meal program preset. The units on each claim follow the meals actually delivered that day.

Do I need Spoke to use Zeumatic for meal delivery?

Routes are planned and optimized in Spoke, and Zeumatic stays in sync with it. Without Spoke you can still manage clients, authorizations and claims; the delivered-days billing relies on the deliveries Spoke confirms.

What if a client goes into the hospital and pauses deliveries?

Put the client on hold. Paused days are neither delivered nor billed, and the client returns to the route when the hold ends, without losing the authorization.

Can we bill private-pay meal customers too?

Yes. Clients who pay for their own meals are billed with invoices from the same place as your Medicaid claims.

How do we know which clients need a new authorization?

Zeumatic alerts the team before an authorization runs out, and the daily checks list every client who cannot be billed: expired coverage, a missing plan code, a rejected claim.

Can one Zeumatic account run several kitchens or programs?

Yes. One account can hold several companies (a second kitchen, a sister program), each with its own clients, routes and claims, and you switch between them in one click.
