Automations

Medical Billing Automation for Care Providers

Billing runs on the days and hours you pick, payer files read the moment they arrive, renewals flagged in time. The routine runs itself.

The weekly routine, without the weekly chore

Every care business has the same rhythm: gather the week's services, build the claims, send them, wait for the answers, post the payments, chase the renewals. Done by hand, that rhythm takes a person's Friday, and the week that person is out, it slips.

Zeumatic turns the rhythm into a schedule. Choose the days of the week and the hour, in your own time zone, and the billing run prepares the claims for the period on its own. Any automation can also be started on demand with one click, so a holiday week or a late authorization never forces you to wait for the next slot.

The answers take care of themselves too. Zeumatic checks the clearinghouse for new files all day long; acknowledgments, rejections and remittances are read as they arrive and matched to their claims, so the morning starts with an up-to-date picture rather than a pile of downloads.

Automation is only useful if you hear about the exceptions. When a scheduled job cannot finish (a connection refused, a file it cannot read), the team is alerted by e-mail, and authorization renewals coming due are announced ahead of time, grouped by insurance.

Automations never act behind the team's back. Each one is switched on deliberately, shows when it last ran and what it produced, and leaves the same trace in the claims list and the audit log as a person doing the same work by hand.

What runs on its own

  1. 1

    Scheduled billing runs

Claims for the period are prepared on the weekdays and at the hour you set, in your time zone.

  2. 2

    Clearinghouse polling

New files from Availity are picked up throughout the day and reconciled with their claims.

  3. 3

    Renewal reminders

Authorizations nearing their end date are announced in advance, grouped by insurance.

  4. 4

    Alerts on failure

If a scheduled job cannot complete, the team gets an e-mail instead of a silent gap.

Questions we hear

Can we choose which days the billing run happens?

Yes. Pick one or several weekdays and the hour; the run uses your company's time zone.

Can we start a run outside the schedule?

Yes. Every automation has a run-now button, so you never wait for the next slot.

Do automated claims go out without anyone seeing them?

Automations are opt-in, company by company. You decide which ones are on, and every claim they create is listed with its status like any other.

What happens if the clearinghouse connection fails?

The polling stops after repeated failures so the account is not locked out, and the team is alerted to reconnect it.

Which time zone do the schedules use?

Your company's own. A run set for Friday at 9 a.m. happens at 9 a.m. where your office is, through daylight saving changes.

Does automation cost extra?

Scheduled billing runs come with the plans that include automatic billing; the price grid on the home page shows which plan includes what.
